How can an accounting firm use AI for client follow-ups?

How a small accounting or corp-sec practice uses an AI agent to chase client documents, sweep filing dates and draft each reminder for a person to send.

An accounting firm can use an AI agent to chase client documents and watch filing dates. The agent checks which clients still owe documents and drafts a reminder for each one, by WhatsApp or email. It also lists the filings due soon. By default, a person reads each reminder before it goes out, and your team signs and lodges every filing.

The follow-ups that eat a practice's evenings

Every GST quarter, the practice manager chases clients for bank statements and supplier invoices. The same polite reminder goes out twenty or more times, by WhatsApp to some clients and by email to others.

In AGM season, someone checks nearly two hundred client entities against the filing calendar. One missed date is a late-lodgement penalty, and usually a lost client.

Neither job needs an accountant's judgement. Both need someone to keep track and keep asking. That is the part an AI agent does well.

What the agent does with a document chase

Our solutions page has an example chat for a GST quarter. The practice manager asks Glimmer, the AI agent Glints builds for Singapore companies, who still owes documents for the quarter's GST F5 returns.

Glimmer checks the shared drive and the inbox against the client list. In the example, 14 of 23 client packs are complete and 9 are outstanding, 6 missing bank statements and 3 missing supplier invoices. It drafts a reminder for each of the 9, in the channel that client usually answers. The manager sends 8 of them and keeps one client for a phone call.

When documents arrive, Glimmer ticks that client off. The quiet ones get a second nudge the following week. See the example chat.

What it does with filing dates

In a second example, a managing partner asks on a Sunday night for anything due in the next 30 days. Glimmer sweeps 187 live entities in the master spreadsheet against the filing calendar. In the example, 11 filings fall due, 8 are on track and 3 are stuck. The partner puts the three on Monday's standup and checks two year-end changes himself. See the example chat.

The agent lists what is due. Your team still signs and lodges every filing.

What stays with a person

  • Filings. Glimmer lists the due dates and the filings that are stuck. Your team signs and lodges each one.
  • Client messages. Each reminder stays a draft until you send it. You can hold any client back.
  • What it is unsure of. A year-end change it could not confirm, or a bank line with no invoice. It says so instead of guessing.

You set the rule once for each kind of message: "Ask first" or "Just do it". See how approvals work.

It works with what the practice already runs

Xero, the client master spreadsheet, the shared drive and the email inbox. Nobody learns a new app. Your team talks to Glimmer in Lark, Microsoft Teams, Slack, Google Chat, WhatsApp or Telegram.

Because client files are confidential, Glimmer runs in a cloud account in your firm's name, and you control who gets in. Read where your data goes.

The hours it gives back

The same page shows the bank statement tie-out for a new client. Today a junior keys 12 months of bank lines against the invoices in Xero, about 16 hours for each new client. With Glimmer matching the lines, the junior reviews the ones left over, about 2 hours. See the before and after. We count your own hours with you on the first call.

Questions people also ask

Will the AI message my clients on its own?

Only if you let it. Each reminder is a draft until a person sends it. You can set a rule that routine reminders go out on their own and everything else waits for you.

Can it work with clients who send everything on WhatsApp?

Yes. It drafts each reminder in the channel the client answers, WhatsApp or email, and reads the documents that come back.

Is there a grant for this?

A bigger build that joins up your systems, such as client documents, filings and your accounts, can apply under EDGE's Large-scale Digital Transformation support. One agent doing one task on its own is not eligible. EDGE supports up to 50% of eligible costs for an SME. More details. IMDA's AI x Digital Leaders also matches companies outside the tech industry with partner vendors. More details. Apply before you sign with any vendor. Read why.

Does it replace the junior?

No. The junior reviews the lines left over instead of keying every line. The approvals and the client relationships stay with people.

Where to start

Count the client reminders your practice sent last quarter, and the evenings they took. Then book a call and bring the count. We will tell you which reminders Glimmer could draft, and which should stay a phone call.
